Terms of Service

Please read these Terms carefully before using AjumaFlow. By creating an account or using any part of the service, you agree to be bound by these Terms. These Terms form a binding agreement between you and DenniDigital, the company that operates AjumaFlow, under the laws of Ghana.

1. Acceptance of Terms

By accessing or using AjumaFlow (“the Service”), you confirm that you are at least 18 years old, have the legal authority to enter into this agreement on behalf of yourself or the business you represent, and agree to these Terms of Service and our Privacy Policy.

If you do not agree to these Terms, do not use the Service.

2. The Service

AjumaFlow is a cloud-based business management platform for Ghana's small and medium enterprises. It includes tools for invoicing, stock management, payroll, customer relationship management, financial reporting, and industry-specific workflows (“Industry Modules”).

We reserve the right to modify, suspend, or discontinue any feature of the Service at any time. We will give reasonable notice of material changes where possible. We are not liable to you or any third party for any modification, suspension, or discontinuation of the Service.

The Service is provided “as available.” While we aim for high uptime, we do not guarantee uninterrupted access and may carry out scheduled maintenance with advance notice where practicable.

3. Accounts & Security

You must register an account to use AjumaFlow. You are responsible for:

  • Providing accurate account and business information
  • Keeping your phone number and recovery email up to date
  • The security of any staff PINs and role-based access you configure
  • All activity that occurs under your account, whether by you or your staff

Each business should register one owner account. You may invite staff users within the limits of your subscription plan. Staff accounts are under the control and responsibility of the owner account.

Notify us immediately at legal@ajumaflow.com if you suspect unauthorised access to your account.

4. Subscriptions & Billing

Free Plan

AjumaFlow offers a permanent Free plan with core features at no cost. No credit card is required to start. The Free plan is subject to the feature limits described on our Pricing page.

Paid Plans

Paid plans (Starter, Growth, Business, Pro) are billed in Ghana Cedis (GHS) on a monthly or annual basis. Prices are as displayed on our Pricing page and may be updated with 30 days' notice.

  • Billing: Subscriptions renew automatically at the end of each billing period unless cancelled before the renewal date.
  • Payment: We process payments via Paystack. By subscribing, you authorise Paystack to charge your selected payment method on each renewal date.
  • Annual billing: Annual subscriptions are charged upfront for 12 months and are non-refundable except as required by Ghanaian consumer protection law.
  • Downgrade / cancellation: You may cancel or downgrade your plan at any time from Settings → Billing. Access to paid features continues until the end of the current billing period.
  • Failed payments: If a payment fails, we will retry and notify you. If payment is not resolved within 7 days, your account will be downgraded to the Free plan and paid features will become inaccessible (your data is not deleted).

Refunds

Monthly subscriptions are non-refundable once the billing period has started. For annual subscriptions, unused months may be refunded at our discretion if you cancel within 14 days of the annual renewal. Contact legal@ajumaflow.com to request a refund.

5. Acceptable Use

You agree not to use AjumaFlow to:

  • Violate any applicable Ghanaian law or regulation
  • Store, process, or transmit any data you do not have the right to use
  • Submit false, misleading, or fraudulent business or financial records
  • Send unsolicited bulk messages (spam) via our WhatsApp or SMS campaign tools
  • Attempt to gain unauthorised access to other accounts or our infrastructure
  • Reverse engineer, decompile, or copy any part of the Service
  • Resell or sublicense the Service without our written permission
  • Use the Service in a way that could damage, disable, or impair our systems

We reserve the right to suspend or terminate accounts that violate this policy without prior notice.

6. Your Data & Content

You own all data you enter into AjumaFlow — your invoices, customer records, financial transactions, staff records, and business information. We do not claim ownership of your data.

By using the Service, you grant DenniDigital a limited, non-exclusive licence to store, process, and display your data solely to operate and improve the Service for you. This licence ends when your account is deleted.

You are responsible for ensuring that the data you enter — including customer phone numbers, payroll details, and financial records — was lawfully obtained and that you have the right to process it.

We recommend regularly exporting your data via the reports and export tools in the app. You may request a full data export at any time by contacting legal@ajumaflow.com.

7. Intellectual Property

AjumaFlow, including its design, software, features, and content (excluding your data), is owned by DenniDigital and protected by Ghanaian and international intellectual property law. The AjumaFlow name, logo, and brand are trademarks of DenniDigital.

Nothing in these Terms grants you any right to use our trademarks, logos, or brand elements without our prior written consent.

8. Disclaimers

AjumaFlow is a tool to help you manage your business. It is not a substitute for qualified legal, financial, or accounting advice.

  • Tax & compliance: The PAYE, SSNIT, and GRA calculations in AjumaFlow are based on publicly available tax rates and are designed to assist you, not to constitute formal tax advice. Always verify with a qualified accountant or the GRA for official compliance.
  • Accuracy: Reports and financial summaries are only as accurate as the data you enter. We are not responsible for errors arising from incorrect input.
  • Third-party services: SMS delivery, WhatsApp message delivery, and MoMo payment data are handled by third-party providers. We are not responsible for their availability or accuracy.

The Service is provided “as is” and “as available” without warranties of any kind, express or implied, to the fullest extent permitted by Ghanaian law.

9. Limitation of Liability

To the maximum extent permitted by law, DenniDigital shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, loss of data, or business interruption, arising from your use of or inability to use the Service.

In no event shall our total liability to you for any claims arising from or related to the Service exceed the total amount you paid to us in the 12 months preceding the event giving rise to the claim, or GHS 500, whichever is greater.

Nothing in these Terms limits liability for death, personal injury, or fraud caused by our negligence, or any other liability that cannot be excluded under Ghanaian law.

10. Indemnification

You agree to indemnify and hold harmless DenniDigital, its directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising from:

  • Your violation of these Terms
  • Your use of the Service in a manner not authorised by these Terms
  • Any data you submit that infringes the rights of a third party

11. Termination

By you: You may close your account at any time from Settings → Account → Close Account. Upon closure, your data will be soft-deleted within 30 days (see our Privacy Policy for retention details).

By us: We may suspend or terminate your account immediately if you violate these Terms, fail to pay subscription fees after a grace period, or engage in activity that harms our systems or other users. We will give reasonable advance notice except where immediate action is required to protect the integrity of the Service.

Upon termination, your right to use the Service ceases immediately. Sections 6, 7, 9, 10, and 12 survive termination.

12. Governing Law

These Terms are governed by and construed in accordance with the laws of the Republic of Ghana. Any disputes arising from these Terms or your use of AjumaFlow shall be subject to the exclusive jurisdiction of the courts of Ghana.

We encourage resolving disputes informally first — contact us at legal@ajumaflow.com and we will make every reasonable effort to address your concern within 14 days.

13. Changes to These Terms

We may update these Terms from time to time. When we make material changes, we will notify you via in-app notice or email at least 14 days before the changes take effect. If you continue using the Service after the effective date, you accept the updated Terms.

If you do not agree to the updated Terms, you must stop using the Service and may close your account before the effective date.
